  • Position Summary

    This position provides executive-level administrative support to the MedAccred Program and contributes to the operations and management of the program.  This shall include acting as primary coordination and communication focal point for the MedAccred group and government-funded programs, and providing support for marketing activities in areas such as social media.  In addition, this position provides support and help for coordinating activities for the MedAccred Quality Management System.

    Primary Duties

    • Administrative and Program Support 
      • Provide executive-level administrative support to the MedAccred Management Council, sub-teams and special industry managed teams, such as: communications (e.g., WebEx, mass mailings, etc.), preparation for meetings (e.g., agendas, minutes), rosters, etc.)
      • Act as primary meeting and event planner for all MedAccred meetings, including coordination with event space, sending and following up with invitations, maintaining attendee rosters, all event logistics, printing and shipping materials and exhibits, obtaining speaker presentations, coordinating food and beverage and any special activities, etc.
      • Set up systems for capturing and analyzing customer contact details, audit information, identifying and capturing potential customer leads
      • Develop process for onboarding new subscribers and suppliers, to include coordination with Scheduling, eAuditNet support, Professional Development, Task Group Staff Engineer, etc.
      • Assist department staff in preparation for presentations (such as compiling data) and conferences materials
      • Responsible for tracking Subscriber fees and audit payments and initiating contact with customer to address any non-payment of fees
    • Government-funded Program Support 
      • Act as first-level contact for all NIST/MEP inquiries and attempt to address many of the complex coordination with NIST/MEP and other PRI departments
      • Coordinate between Subscriber and NIST/MEP to forward information on new potential accounts and follow up and establish system to track the status of each account
      • Coordinate between NIST/MEP and Scheduling to schedule audits and work with auditors to prepare for special pre-assessment review training audits with NIST/MEP
      • Ensure appropriate billing occurs and address any billing inquiries by working with NIST/MEP and Accounting
    • Marketing 
      • Provide information on all MedAccred conference presentations and global first Accreditations to PRI Marketing for follow-up
      • Notify Marketing of necessary changes to the MedAccred website and marketing materials
      • Support development of professional-level presentation materials for all WebEx, conference presentations, customer presentations, etc.
      • Monitor social media activities for MedAccred and identify opportunities for potential communication activities.
    • Quality Systems
      • Provide support and coordination of activities for the MedAccred Quality Management System.

    Qualifications & Skills

    • Associates degree in business or related field or 5+ years administrative experience
    • Strong communication skills, oral and written, phone and e-mail
    • Strong organizational skills
    • Good administrative skills, including record keeping and attention to detail
    • Ability to handle multiple projects simultaneously
    • Effective meeting planning skills
    • Ability to collaborate and work effectively in teams
    • Strong problem-solving skills.
    • Excellent computer skills and ability to work with appropriate computer application programs.
    • Ability to travel 10% of the time.
    • Ability to work for long periods at a computer/desk.
    • Standard office environment.
